Melo Juvenile: How We Stopped Unpaid B2B Invoices with Autopilot Account Locks

The Challenge

Offering "Pay Later" terms is a standard move in B2B wholesale. It helps close high-volume deals and build long-term buyer relationships. But it comes with a real operational risk: what happens when a buyer blows past their payment deadline and keeps placing orders?

For Melo Juvenile, that risk was showing up every week. A segment of verified wholesale buyers would default on their net-payment windows while continuing to shop on the storefront without any friction. By the time the finance team caught it, another order had often already gone through.

The Reality

Tracking overdue invoices manually meant cross-referencing spreadsheets, sending awkward follow-up emails, and then flagging accounts internally before anyone could act. The whole cycle was slow, reactive, and burning 5 to 10 hours of admin time every week. And it still wasn't catching everything in time.

The Solution

Melo Juvenile needed a system that didn't rely on a person noticing the problem first. We built an event-driven automation using Mechanic and Locksmith that monitors payment status in real time, locks overdue accounts the moment a deadline passes, and notifies both the buyer and the admin team instantly, with zero manual input at any step.

The Problem: Manual Credit Control Doesn't Scale

Three breakdowns were driving the risk:

No automatic account restrictions. Overdue buyers retained full access to the storefront. Nothing stopped them from placing new orders on top of an unpaid balance.

Delayed internal visibility. The finance team had to manually identify overdue accounts and flag them before anyone could act. That lag was long enough for additional orders to slip through.

Reactive communication. Buyers weren't notified until a human sent an email. Admins weren't looped in until even later.

The Strategy: Brains, Guardrails, and Instant Alerts

Rather than building a custom software application from scratch, we orchestrated two purpose-built Shopify tools into one coordinated system.

Mechanic Β is the automated brain. It tracks due dates, listens for payment events, updates customer accounts in real time, and sends targeted emails at every stage of the credit lifecycle.

Locksmith is the dynamic gatekeeper. It intercepts active user sessions on the storefront and restricts access to specific pages based on customer tags applied by Mechanic.

By linking these two systems, we built an event-driven loop that neutralizes credit risk on autopilot while keeping every stakeholder informed at every step.

The Self-Healing Workflow

Step 1: The Trigger

A wholesale buyer places an order on net-payment terms. If the invoice passes its due date without a payment recorded in Shopify, Mechanic activates automatically.

Step 2: Account Flagging and Lock Notifications

Mechanic instantly applies a credit-risk tag to the buyer's profile and attaches internal notes to the account. At the same moment, two automated emails go out: the buyer receives an account lock notification with their outstanding balance and next steps, and the admin team receives an alert identifying exactly which account has been restricted.

Step 3: The Storefront Lockout

The moment the credit-risk tag is applied, Locksmith intercepts that buyer's active session and blocks their cart and checkout pages. Only that account is affected. Every other buyer on the storefront is completely uninterrupted.

Step 4: Transparent In-App Communication

Instead of a broken page or a generic error, the buyer sees a clear announcement bar on the storefront explaining that their purchasing access is temporarily paused due to an outstanding balance. No confusion. No guessing.

Step 5: Instant Reconciliation and Unlock

The moment the buyer settles their invoice, Shopify registers the payment. Mechanic catches the event, wipes the internal notes, and removes the credit-risk tag. Locksmith reopens the storefront for that account automatically. Another round of emails triggers simultaneously: the buyer is notified their access is restored, and the admin receives confirmation the balance is cleared.

Edge Case: Handling Internal Orders

A common failure point in rigid e-commerce automation is accidentally locking out your own team. If a customer service rep needs to manually draft or edit an order over the phone for a flagged buyer, a blanket block creates an operational bottleneck.

The system handles this cleanly. Internal order creation paths bypass the frontend restriction entirely. But to maintain complete visibility, the moment an internal order is created for a flagged account, an instant notification email goes directly to store admins. Leadership always knows when an exception has been made for a restricted account.
