From Chaos to Clicks: How We Rescued Two Agencies from "The Tab Trap"

The Mission

In the world of crowdfunding, timing is everything. Our clients, a fast-growing agencies, spend their days finding and helping creators launch products on Kickstarter and IndieGoGo.

If you aren't familiar, Kickstarter is a platform where inventors and creators share their ideas to get "crowdfunded" by the public. For these agencies, every new project is a potential client. But finding those clients was a manual nightmare. They were drowning in data and losing their most valuable asset: time.

They partnered with us to build KickWatch, a custom "campaign-scoping machine" that does the heavy lifting for them.

The Problem: "Where Did I See That Project?"

Before the automation, the agencies were finding leads the old-fashioned way. Their teams would spend 6 to 8 hours a day scrolling through Kickstarter and IndieGoGo, clicking on hundreds of links, and trying to keep track of it all.

It was a mess for three main reasons:

  • The Tab Trap: Teams were jumping between 50+ open browser tabs, copying links, and pasting stats into spreadsheets. It wasn't just slow; it was soul-crushing.

  • Data Decay: Crowdfunding moves fast. By the time a lead was manually typed into a list, the "funding percentage" or "days left" was already old news.

  • The Info Black Hole: Important details were scattered across Slack messages and personal bookmarks. If a team member was out for the day, the data was essentially gone.

"We were spending more time hunting for data than actually talking to creators. We didn't need more interns; we needed a bridge."

The Fix: A "Digital Assistant" That Never Sleeps

We didn’t just want to move data around; we wanted to make it useful. We built an automated pipeline using a mix of smart tools that acts like a 24/7 researcher.

The Tech Stack (The "Engines"):

  • The Scraper (Apify): Our “digital eyes.”
Instead of scanning platforms all the time, it works on demand. Whenever the Braag team needs data, they fill out a Tally form with the required search parameters. This submission triggers an automation in n8n, which then calls Apify to scrape data from Kickstarter. n8n filters and sorts the scraped data and finally stores the structured results in the Braag Notion database.

  • The Brain (N8N): This is the glue. It tells the scraper when to run and where to send the data.

  • The Command Center (Notion): The final destination. A clean, organized database where the team can see every lead in real-time.

Our Approach: The 4-Week Transformation

We broke the project down into three simple steps to ensure the agencies could start seeing results immediately:

  1. Real-Time Monitoring: We set up the scraper to flag fresh, relevant campaigns the second they go live. No more waiting.

  2. Logic & Cleaning: We built a "logic layer" that filters out the junk. If a project doesn't fit the agency's criteria, it never even hits their dashboard.

  3. The Notion Sync: Everything is pushed directly into a custom Notion workspace. Instead of a messy spreadsheet, the team now has a searchable, tagged, and organized powerhouse of leads.

The "Win" by the Numbers

Since launching the KickWatch system, the vibe in these agencies has completely shifted. They’ve traded "searching" for "strategy."

The Bottom Line

In just one month, we turned a fragmented, exhausting research process into a streamlined machine. These agencies no longer "manage data", they manage relationships. By automating the "chaos," we gave them their time back so they can focus on what they do best: helping creators succeed.
